A clear dictated support reply acknowledges the reported problem, gives a verified next step and asks for only the information needed to continue. Check the answer before recording; dictation does not diagnose the customer’s issue or look up their account.
Separate the report from your explanation
Read the customer’s description first. Note what they observed and what is still unknown. If they report missing text, that does not automatically identify a microphone, account or insertion problem. Draft from confirmed facts and avoid turning a plausible explanation into a definitive diagnosis.
Use one next step at a time
An illustrative response is: “Thanks for explaining what happened. Please try a short sentence in a new disposable note. If the text still does not appear, send the app version and the exact error message.” This is a fictional example of response structure. The correct troubleshooting step for a real issue must come from the product’s actual support guidance.
Keep the request for information narrow
Ask for a version, reproduction step or error text when it can change the next decision. Do not ask a customer to send passwords, API keys or an entire private transcript. If a screenshot is necessary, explain which area matters and ask them to remove personal information. More collected data does not automatically make the diagnosis better.
Review promises and tone
Listen for accidental commitments such as “this will fix it” or “we will refund it today” when that outcome has not been confirmed. Acknowledge inconvenience without inventing a cause. In the editing pass, replace unnecessary technical language with the action the customer should take, while preserving any important condition.
Dictate into a draft, then check the destination
Click the reply field before starting Sayhush and keep it selected until insertion completes. Pause when checking a reference, or stop and start a new recording after switching context. Review the recipient and ticket yourself. Sayhush does not read the ticket, choose a canned response or send the message automatically.
Make follow-up easy
End with what the customer should expect after completing the step. If you need to investigate, state what information you are checking rather than giving an unsupported deadline. Keep a copy according to your support process. A concise, accurate reply is more useful than a polished paragraph that leaves the customer unsure what to do next.
